Invite participants to your program

There are a couple of ways to add participants to your program:

  • One way is to create a registration page for an enrollment process. Read more about the registration page here.

  • The other way is to add members directly to your circle. Start by entering the circle where you'd like to add members.

Once inside, click on the Invite button towards the upper right hand side of the menu. In the pop up window, you'll be able to add the username or email address of the people you want to add. You can also copy / paste a list comma or space separated email addresses from an Excel or CSV file for example. If the person you're adding already has an account on Sutra, they will automatically be added to the circle and can access it from their homepage.

You can write a short welcome message or leave the field blank. This notification will be dispatched to their email address.

Add members to sub circles

Go inside your sub circle, click on the Invite button towards the upper right hand side of the menu.

In the pop up window, you'll be able to add the username or email address of the people you want to add. If the person you're adding already has an account on Sutra, they will automatically be added to the circle and can access it from their homepage.

Here I'm adding members to the General discussion sub circle. If you are adding people to a sub circle you will see additional options in the pop up Add People window:

Copy members from this circle: This enables you to copy all of the members of other sub circles within your program to this discussion circle.

Add active members: This will add the members who are a part of the program space.

Add pending members: This will add a pending member to the discussion circle. When you add the member, they will move out of pending status into approved.

Some tips for adding people to sub circles

  • If your discussion circles are open, the participants can always see them and join them on their own. However, we recommend adding participants to the important discussion circles for them to be able to post messages and start receiving Sutra digest emails with all the updates of these circles.

  • If you have private discussion circles, you need to add the selected people to them manually.

  • You don’t have to add participants to the content circles. We recommend you to simply make these circles open so that the participants are able to see all the content inside. Sutra digest includes updates from the discussion circles only. If you would like to let the members of your program know that you published a new piece of content you can do so by using the broadcast email.

Remove your participants

  1. Choose your program space (click on the name of your program), click on Manage on the top menu and select the Members tab.

  2. By clicking on the three dots on the right hand side next to the participant’s name you’ll be able to see the email address and remove this person from this circle or from this circle and all the sub circles.

How to end regular subscription

Note: if you are running a program with a regular subscription, please, let your participants know that to cancel this subscription and stop regular payments they will need to leave the circle or simply remove them from your side. Only after that, they can delete their Sutra account if they want to.

You can also choose to stop charging a member without removing this person. This will cancel their repeating Stripe payments.

Manage your participants

Here you can see several tabs:

  • Members - the list of all the active members of your circle.

    Here you can also download a CSV file with the email addresses of your participants (click on the three dots to open this menu).

  • Pending - the list of registrants in pending status (if your program a pending status). You can remove or approve the participants to give them access to your program space.

Check the email address and status of the members before you approve them. If the status is Survey - this member still needs to fill in the registration survey.

  • Invited - here you’ll see all the invited members of your program until they register for Sutra. Invited participants after registration on Sutra and people who registered themselves via a registration page will be under the Pending or Members tabs.

    Note: Invited people get a personalised link that only they can use to register for your program. People in the Invited list haven't registered for Sutra or haven't read your invitation email. You can resend the invitation email by clicking on Resend. Here’s the example of the invitation email:

If you prefer to send a personalised email, you can copy the individual invitation link for this participant and send it in a private email.

  • Managers - managers of your program.

  • Payments - if your program is paid, here you’ll see the list of payments and the dates they were made.

Add managers to your program

Managers have administrative privileges over every aspect of the circle experience. They can access all sub circles (public and private) and circle settings and they can delete member posts. When you have layers of nested circles, managers can access every circle within the hierarchy.

Note: You can have up to 2 managers on the Professional plan and unlimited managers on the Organization plan (check the plans here: https://sutra.co/upgrade). The person whom you add as a manager can have a basic free account on Sutra. If you add another manager to the program spaces created by you, this person will have access to all the features of your plan within this particular program.

To add a manager to your circle, click on the Managers tab and click on the green Add managers button.

The person you want to add as a manager, they must have an existing account on Sutra. You then add them by typing @ followed by their username. To make it easy, you first add this person as a member to your circle and after he or she gets registered on Sutra you will be able to add a manager.
