Automatically add people to sub spaces inside your program

This automation feature is available on the Professional and Organization membership plans (see our Membership plans here).


Adding people to sub spaces inside your program


➡️ Important: Please make sure you add people to your program space only AFTER creating your automation sequence.

We recommend adding people to the important discussion sub spaces. You can add people to the content sub spaces as well but if the content sub space is open there's no need to do that. See some tips for adding people to sub spaces.

  1. Choose your program space (click on the name of your program) and create all the necessary discussion sub spaces. In this tutorial we will add people to two discussion spaces but you can have as many spaces as you want.

  1. Click on Manage on the top menu and select the General settings. Scroll down to the Automation.

  1. Press the Add step button and then choose Add person to an existing space as your next action.

  1. Then click on Select select a space to add member to from the drop-down menu. Here you will first see the list of all the spaces within this program and then all the spaces managed by you. If you don't see the necessary space in the drop-down menu just start typing the name of it.

    There might be several circles with the same name but different extensions. This is why it is helpful to verify the individual extension of the space you would like to add people to.

  1. After that press the blue Save step button.

  1. Repeat this process for the next discussion sub space.
  2. You can add as many Automation steps as you need. Here we add members of the top level program space to two discussion sub spaces:

  1. After you add these automation steps, you can start adding people to your program space. As soon as the participants join your program, they will be automatically added to the selected discussion sub space inside of it.

Some tips for adding people to sub spaces

  • If your discussion spaces are open, the participants can always see them and join them on their own. However,
  • If you have private discussion spaces, you need to add the selected people to them manually.
  • You don’t have to add participants to the content spaces. We recommend you to simply make these spaces open so that the participants are able to see all the content inside. Sutra digest includes updates from the discussion spaces only. If you would like to let the members of your program know that you published a new piece of content you can do so by using the broadcast email.
